ORGANIZATION BACKGROUND
KUSA is a nonprofit association established in 2007 with the help of the U.S. Embassy in Kosovo and several committed alumni of the U.S. government exchange program. KUSA is an association of more than 1400 members that had the opportunity to participate in U.S. government-funded exchanges and education programs. KUSA operates as a democracy that values its members who make significant contributions by sharing skills and best practices acquired during their U.S. exchange experience with colleagues and communities across Kosovo. KUSA is also responsible for the administration and monitoring of numerous U.S. Government grants.
BASIC FUNCTIONS
We seek an Administrative/Finance Assistant who is organized, detail-oriented, and willing to contribute to the organization, to manage our daily administrative and finance tasks. The ideal candidate will be an excellent writer with a proven ability to track and meet multiple deadlines and with attention to detail. Duties of the Administrative Assistant include providing support to management, assisting in daily office needs, and managing our organization’s general administrative activities.
JOB RESPONSIBILITIES
Manages tasks related to document control and file management;
Execute payments as requested by project coordinators and management;
Prepare a wide variety of administrative and financial documents such as, but not limited to, invoices, requests for payments, purchase orders, timesheets, cash payment requests.
Work collaboratively with accounting consultants on the preparation of financial statements and reports.
Assist with day-to-day operations of projects; coordinated activities with other employees as needed.
Other responsibilities such as but not limited to assisting with managing incoming and outgoing communications in all forms and channels, arranging meetings and conferences, including preparing agendas and minutes, and making the necessary arrangements.
QUALIFICATIONS
Education in a related field or relevant experience in project management.
Good professional and persuasive writing skills in English and Albanian language.
Minimum one year of relevant administrative or office manager experience.
Experience managing multiple assignments remain on deadlines.
Ability to communicate clearly and effectively with stakeholders.
